Claiming a missing conversion when a sale doesn't show up

Affiliates claim a sale that wasn't recorded, by click ID or order number; the advertiser confirms or denies and the network decides, and can create the conversion.

Missing conversions are one of the biggest pains in affiliate marketing: the affiliate swears they made a sale, the advertiser can't find it, and the back-and-forth happens by email with no record. RastroAff has a dedicated flow, with a status everyone can see.

1. The affiliate files a claim

In Conversions → This sale didn't show up, the affiliate enters:

  • the offer;
  • the click ID (it's in their postback and in the reports) or the order or sign-up number;
  • optionally, the sale amount, the date and details.

RastroAff checks straight away:

  • that the click exists and belongs to that affiliate and that offer;
  • whether the conversion is already recorded (if so, it shows the status instead of opening a claim);
  • that the sale is from the last 90 days.

A rejected conversion can be disputed too: the Dispute link next to the rejection opens the claim already filled in.

2. The advertiser answers

The advertiser gets an email and sees the claim in Claims, with only the affiliate's public ID. They look the sale up in their system and answer:

  • Confirm sale, or
  • Not found,

with an optional note for the network.

3. The network decides

In Claims (managers only see their own affiliates' claims), the team sees the request, the advertiser's answer and a link to the click in the click log. They can:

  • Create conversion: creates the conversion from the original click, as if the postback had arrived, with the offer's payout, rules and caps. If the offer pays a percentage of the sale, enter the amount.
  • Accept: when the conversion was already recorded another way.
  • Decline: with a reply to the affiliate.

The affiliate gets the decision by email and sees the status in Conversions → Your claims.

Limits

  • Each affiliate can have up to 20 claims under review at a time.
  • Only one claim under review per click or order.
  • Without a click ID, the network can't create the conversion automatically. It can record it another way and then accept the claim.

The team gets each new claim on Telegram, if they have alerts turned on.
